Privacy Policy

What we collect, why, who we share it with, and how to control it.

Effective: June 8, 2026. We'll bump this date when something material changes.

The short version

Houston Fan Fest 2026 (“Houston Fan Fest,” “we,” “us”) collects the minimum we need to sell you a ticket, answer your inquiry, and run the event. We don't use third-party analytics, advertising, or tracking cookies. We don't sell your information. The only places your data goes are the service providers we need to actually deliver the experience — TicketTailor, Stripe, Resend, and Vercel — each named below.

Information we collect

Inquiry forms

When you submit a Vendor, Sponsor, Corporate Events, or General inquiry on this site we collect your name, email address, and any optional fields you fill in (phone number, company, topic, message). These submissions are stored in our backend database (Vercel KV) and emailed to the partnership team members who handle that inquiry type.

Ticket purchases

Ticket sales are processed by TicketTailor, our ticketing platform, which uses Stripe for payment processing. We do not collect or store your payment card information on our servers. TicketTailor passes back order metadata (your name, email, ticket type, order ID, amount) to our backend so we can record the sale, send you a confirmation, and contact you about logistics for the event you bought into.

Server and security logs

Like every site on the internet, our hosting provider (Vercel) logs standard request data — IP address, user agent string, request timestamps. These logs exist for abuse prevention, security investigation, and operational debugging. They are not used for advertising or analytics.

Cookies

We do not use third-party tracking or advertising cookies. The admin area of the site uses a single signed session cookie to keep authenticated administrators logged in — this is operational and is not used to track public visitors.

How we use your information

  • To respond to your inquiry, including routing it to the right partner (Barnes Marketing & Management, The Culture Of Sports, or the Community Collective for Houston)
  • To fulfill your ticket purchase and send your confirmation
  • To contact you about logistics for the event you bought — specifically, pre-event reminders and day-of operational details (boarding times, wave assignments, return shuttle info)
  • To process refunds or order changes
  • To improve the site and the operation in aggregate (e.g., how many tickets sold per match), never in a way that identifies an individual publicly
  • To meet our tax, accounting, and other legal obligations

Who we share it with

We share information only with the service providers we need to run the operation, each acting on our behalf:

  • TicketTailor — ticketing and hosted checkout
  • Stripe — payment processing, via TicketTailor
  • Resend — transactional email delivery (inquiry confirmations, ticket confirmations, event reminders)
  • Vercel — hosting infrastructure, including the Vercel KV database and Vercel Blob storage

We do not sell, rent, or trade your information to third parties for advertising or marketing. We may disclose information when required by law, court order, or to investigate fraud or abuse.

How long we keep it

Inquiry submissions are retained while they are operationally relevant, and longer if necessary to maintain a record of the interaction. Ticket purchase records are retained for the length of time required by tax and accounting law (typically four years in Texas). Server logs are retained per our hosting provider's standard retention schedule.

Your rights

You can ask us to:

  • Tell you what data we have associated with you
  • Correct inaccurate information
  • Delete your inquiry record and contact information — note that completed ticket purchases can't be erased because we are required to keep them for tax-record purposes
  • Unsubscribe from non-transactional emails

To make any of these requests, email info@fanfesthouston.com. We'll respond within a reasonable time.

Children's privacy

This site is not directed at children under 13, and we do not knowingly collect personal information from children under 13. Adults who attend our events with children of any age remain responsible for those children. If you believe a child has submitted information through this site, contact us and we will delete the record.

Changes to this policy

We may update this policy from time to time. When we do, we'll update the effective date at the top of this page. Material changes will be reflected through a notice on the home page or by direct email to ticket holders, depending on what changed.
